What we deliver

Olmia delivers products and services for digitization, data capture, e-archives, AI and retrieval of data. We offer solutions for digital archiving according to international standards, ensuring that your digital information is secure and available over time.

Import

Electronic files are transferred through our automatic import service. Physical material is sent to our scanning service which digitizes and classifies the material, the digitized files are thereafter sent to our import services. If you wish to scan the physical material yourself, we deliver the scanning components directly to you.

Control

The information flow go through both channels and manual interactions. Rule-based workflows and notifications, such as automatic screening and contract revisions reminders, are based on the characteristics of stored data and can be shared with different stakeholders through the system's support for automatic processes and workflows.

Storage

Data is stored in our GDPR- and OAIS-compatible e-archive located in physically secured premises within Sweden's borders, where both storage and data transport are encrypted. Alternatively, the storage is situated in your own system environment and is managed in accordance with your policies, operating- and security routines.

Availability

Once the files are stored, classified and searchable, they can be easily retrieved using the web client. If you want files/metadata or records to be transferred into your other business systems, ready-made integrations for several business systems are available, alternatively a well-documented RestAPI is available.

Digitization

How is data received?

Our experience is that clients often have solutions, strategies and processes in place for digitization – at least for their own produced data. This is often a requirement in today's working life, not least in view of the laws and regulations regarding personal and sensitive data that needs to be stored and handled in a safe and correct manner. Whether you use internal or external file storage, database-based business systems and/or supplementary archive solutions often differs, based on needs, requirements and type of business.

The externally produced data that arrives, and for which the vast majority today have a solution for, is usually invoice management i.e. supplier or cost invoices.  Physical invoices are often scanned and handled by external contractors, and an increasing proportion are received directly in an electronically predetermined format.
But how is the other incoming data handled, apart from invoices? What is often a neglected area is the business's other files and information that arrive via various channels, both electronically and physically.

Digital files and data are received both automatically and manually in widely different formats, via file transfers, email, social media tools, system integrations, etc.  

Physical files arrives via post and courier, these first need to be digitized and categorized before they are taken further into the various decision and verification processes.

Olmia helps you manage the entire incoming data & mail handling, both digital and physical, in a uniform way. We deliver, in collaboration with our partners, services and products to import data through both physical scanning and various forms of automatic, manual & semi-manual digital transfers. We can assist you with classification and sorting of the information through several techniques – everything from traditional OCR capture, text extraction with smart lookups, full text indexing and AI services such as machine learning methods and classification.

We then ensure that the data and files are sent to the respective person responsible for attestation/verification, before we either store the file and data in our e-archive and/or forward information to the respective operating system, according to the work processes and workflows of your business.

For several customers, we also handle the storage of internal, self-produced files and data. And of course, we can also assist you in order to suit your particular needs and process.
With the support of our reputable partners, we can deliver digitization both as a service and as products.

Storage

Our solution includes both secure digital archiving, processes for how the stored information is handled, as well as making the stored information available through both traditional search functions and cognitive technology which - by using GDPR adapted LLM in the customer's own proprietary data set - can perform fully on par with the most popular web-based AI services.
The D-Safe® product platform includes a complete and modern OAIS and GDPR compliant digital platform with components for storage, retrieval, formatting, display, transformation and lifecycle management. The solution is designed to meet the fully requirements of any archiving purpose and can be easily expanded with individual customizations, which are developed by us or by the customers themselves to offer the flexibility needed to solve specific needs.

The D-Safe® product platform is continuously developed with a strong focus on scalability, efficient data management and security and can be delivered through cost-effective cloud installations or through large-scale installations in the customer's own IT environment.

Integration

The integration interface for D-Safe® consists of a modern restAPI for storing and retrieving information. It is developed to offer smooth integration possibilities and includes source code in C# and Swagger documentation for easy integration. Fully documented interface is available and can be tested through plugins in web browser. All features of the storage platform are exposed. D-Safe® also uses the API internally and is thereby always updated, supported and secure.

D-safe® is developed with a high degree of performance and safety in mind and undergoes ongoing external penetration testing.
D-Safe® comes with web-based administration for full management and configuration of various user authorizations for role-based administration of the system. Smooth configuration of users, groups, permissions, security, data transformation and much more.

D-Safe® includes full support for all archiving purposes according to the OAIS model, as well as the requirements for a modern digital archive including advanced authorization management and connections to various business systems and services that are used on a daily basis.

D-Safe® handles all types of information inflows, both digital and physical, as well as digital exports to other internal and external systems. The flow of information through our systems goes both through pre-configured channels and through manual interactions.

BPM

Rule-driven workflows and notifications, based on the characteristics of stored data, are shared with different stakeholders through the system's support for automatic processes. Various standard rules are offered, such as automatic screening and reminders, and other workflows are defined through the system rule-based functionality.

AI

By the add-on module Titius, the traditional search functions are supplemented with built-in AI functionality, which provides the user the advanced opportunity to request quick relevant answers, suggestions or recommendations based on all the information stored in D-Safe®.

Availability

We deliver effective access to your protective information assets. In a safe, controlled and scalable way.

The web-based client for D-Safe® offers secure access to your data through standard web-browsers. Search, update, change, delete and add data to the archive and restrict access to sensitive data. The digital information in D-Safe® can also be made available via integration with other business systems.
The benefit of our solution can be described by looking specifically at the results that are offered with different types of search methods:

1. Search on predefined metadata values Search result at document level.

2. Search on tags, i.e. notation entered by a user in addition to predefined metadata values Search result at document level.

3. Search on free text, i.e. one or more words/phrases in running text Search result at document level, then in running text at individual page level.

How can information be retrieved?

What search results are offered?

A traditional e-archive offers search-functionality on level 1, less often on levels 2 and 3 and never on level 4.

Modern digital archive/ECM solutions may offer functionality 1, 2 and 3.

Web-based AI services (ChatGPT etc.) provides functionality for level 4, but cannot always ensure that information of high security-class is handled in accordance with GDPR.  

A few information systems can offer 1, 2, 3 and 4. Even fewer providers can offer 1, 2, 3 and 4 in a way where stored data is handled securely in a customer-specific system environment with local storage of data, where the customer's data does not leave the country boarders, and that complies with current EU- and national regulations and legislation.
